Shadow Committee Meeting 17/01/2012
A first meeting of the Shadow Committee meeting formed to prepare for the creation of the new Chorley Athletic and Triathalon Club was held on Tuesday 17th January 2012.
It is intended to keep all members of Chorley AC and Chorley Harriers fully informed and involved during this exciting and challenging time, and so more information will be posted on the two web sites in the very near future.
If any member has any comments, queries, concerns or ideas please do not hesitate discussing with any of the Shadow Commitee members (John Payn, Maurice Houghton, Terry Dickinson and Simon Townsend).
To encourage members to mix and provide greater choice, a list of training sessions offered by Chorley AC and Chorley Harriers has been complied.
All members are most welcome at all sessions.

Chorley Athletic Club and Chorley Harriers and Triathlon Club Ballot Results
The votes cast were as follows :

Both results are > 75% therefore the ballot for a new Club has been successful.
A shadow Committee will now be established from the Committees of both Clubs to oversee the transition period between the dissolution of both Clubs by its members, and the formation of the new Club, with a newly elected committee in compliance with the expressed wishes of its members. This will need to be effected through an AGM by both Clubs with a proposed starting date for Chorley Athletic & Tri of the 1st April 2012. The shadow committee will be comprised of four members from each of the existing Committees of Chorley Harriers & Tri and Chorley AC.

Chorley Athletic Club and Chorley Harriers and Triathlon Club Ballot
You will be aware of the discussions between both clubs to prepare the way for the dissolution of both existing clubs in Chorley and the formation of a single club. Details are available of the final agreement on the proposal reached by the Committees of both clubs, on their respective web sites. If you do not have access to the web you can contact any member of either committee for further details.
The vote is now being put to members via the enclosed ballot paper to determine whether this will proceed. Only fully paid up members as defined by each club will be eligible to vote.
The members of each club will vote on the same question, during the same time period, with CHaT members voting on Yellow paper and Chorley AC members voting on Green paper. Numbered voting papers will be posted out to all fully paid up members on the 15th November 2011. If members have not received their voting papers by the 21st November they should contact their respective membership secretary.
To approve the establishment of the new club and the dissolution of Chorley AC and Chorley Harriers and Tri will require a ‘YES’ vote of 75% or more of the eligible, voting members of each club, received by the closing date of Saturday 10th December. The counting of votes will be overseen by three representatives from each club nominated by their respective committees.
The result of the ballot will be will be available to the members of both clubs’ via their respective web sites from 9pm on Friday 16th December. Members without access to the web will be able to access the result of the ballot via any member of their respective committees.

This Draft Constitution and Proposal to establish one Athletic club to represent Chorley is for the members of both Chorley Athletic Club and Chorley Harriers and Tri.
It is made available to the members of both clubs to consider and advise the Chairman of their respective clubs as to possible changes, improvements, areas of concern or key issues that may not have been taken into account.

The Chairman of each club will be ultimately responsible for negeotiating a final proposal,
but all comments, concerns and issues should be initially raised with either Mike Coppin or Simon Townsend in person, by letter and/or email.
These will be documented and forwared to Chorley AC Chairman (John Payn) for consideration.
